Transfers warn about shortages, cancelled classes can be rejoined, reports follow permissions

This update serves three different groups: the stockroom — a transfer says what is missing and protects your prices; clients — a cancelled group class can be booked again; and the owner — roles decide who sees which report.

Inventory: the transfer warns before it leaves you negative

A transfer now shows the stock in the source warehouse while you prepare the document, and warns you if you are about to move more than it holds.

You see three things:

  • on the row itself — a red "X available, Y for transfer, Z left" label;
  • above the table — "Not enough stock in the source location" with a list of the affected products, plus an "and N more" line beyond five;
  • on completion — a confirmation stating how many rows will go negative.

The warning is advice, not a block. You can continue. The number is a snapshot — if sales are made from that warehouse in the meantime, the real stock may be lower.

Inventory: a transfer moves quantity, not prices

A transfer is an internal movement between two of your own warehouses, not a purchase, and the screen reflects that:

  • it changes no sale prices and applies no tax or discount;
  • the cost that travels is the one from the source warehouse — what the business actually paid;
  • six columns instead of ten: "Sale price", "Tax" and "TO" are gone, and "Unit cost" is read-only;
  • payments and balance are hidden unless an existing document already carries a payment.

If you need to bring in new stock with tax or change a sale price, use a delivery, not a transfer.

The change applies to new transfers. Documents already recorded, and the costs that entered your warehouses through them, stay as they are.

Marketplace: a cancelled group class can be booked again

A client who cancelled a group class themselves can now take their place back while the class has not started yet.

A cancelled class carries a red "You cancelled this class" label, and "Reservation details" shows "Changed your mind?" with a "Join again" button, or "Join to waiting list" if the class filled up in the meantime.

This is a new booking, not the old one restored: payment method, service option and benefit card are chosen again, and the place in the waiting list counts from the new booking, so it does not jump ahead of the people who queued while the seat was free.

A booking that was already paid online or settled as a sale cannot be rejoined, and neither can one the location cancelled or marked as a no-show. In those cases the client is asked to contact the location.

Reports: access follows the employee's role

Every report opens according to the permissions in the employee's role. If the permission for that report is not ticked, the screen shows "Permission required:" and the name of the permission instead of the data.

Review your roles before the team goes looking for a report. The permission list is long and the reports are separate rows in it — if an employee tells you a report does not open, go to Roles and permissions, find the report and tick it.

A permission applies to the business it was granted in: a user with access to two businesses sees the report of the one they hold it for.

Reports: client and seats

  • "Last payments" shows a "Client" column right on the screen, the same way the downloaded file shows it. The rows are also more compact: the date leads, the payment number sits underneath it, and type and document merge into a single "Operation" cell.
  • "Appointments by referral source" and "Appointments by client referral source" show "Seats" next to "Count". "Count" says how many bookings came from the source, "Seats" how many people are coming through them. The two match only when nobody books more than one seat.

Appointments: you decide whether notes travel

"Duplicate by datetime" now asks whether the notes should go onto the copies. A "Duplicate notes in new appointments" switch sits under the clients one and is off by default — the appointment, service and client note describes one specific booking, not the thirty-one copies of it you make for next month.

The cancellation reason stays with the original booking only — the client wrote it for that one, while every copy starts out confirmed.

Client profile: statistics lead to the rows behind them

The numbers in the client profile and the labels next to the client in the appointment window now open the tab holding those rows, already filtered: "No-show" opens Appointments by the "No-show" status, "Overdue installments" opens Installments by the overdue ones, "Waiting forms" opens Forms. "Unpaid sales" opens the whole Sales tab, because the amount also includes partially paid sales.

External systems: clients and memberships

API keys gain four new permissions:

  • "Create client" and "Edit client" — an external system that acquires a client elsewhere can now write them into your business, instead of the two systems drifting apart from the first booking;
  • "View issued memberships" and "View issued membership" — the integration can check whether a visit is already covered by a membership before it books an appointment.

"Create client" always creates a new profile — it does not look for a match and does not merge. The external system must check whether the client already exists itself, usually by external number. Clients created this way count towards your subscription's client limit.

The membership permissions work only if memberships are included in your subscription plan. Memberships cannot be issued or changed through the API.

Smaller things

  • "Notification settings" lays the channels out in columns from tablet width up and shortens the labels to "In app", "Push" and "Email". A line at the top says what the list is for.
  • The mobile app goes straight to the login screen, without introduction screens. If you tapped a notification or a link while signed out, you land exactly there after signing in.
  • Signing out clears every cache the app reads from, so the next sign-in starts clean — useful on a shared device at the front desk.
  • The layout is decided by the window width. As a result a tablet in landscape gets the desktop layout, and so does a laptop with a touchscreen.
  • If you resize the window across the boundary between the two layouts, the reload offer stays on screen until you use it or close it.
  • The installments list follows the permission for access to sales, the same way sales do.
