How the commission is calculated, wallet payments outside income, and NHIS e-referrals and e-prescriptions

Commission settings explain in plain words, with an example, which amount the commission is calculated from, and a booked commission shows how it was calculated. Payments from the client's wallet are kept outside income. For medical practices, you can now issue referrals and prescriptions from the NHIS e-examination, fill it in from a template, and correct it after it is closed.

How the commission is calculated​

At the top of "Commissions" → "Settings" is "How the commission is calculated" — one sentence for each setting that matters to your business. "Change" opens a window with one question per setting: the discount, the membership visit, consumables, VAT, and several employees on one service. Under every answer, an example with round numbers shows which amount the commission would be calculated from.

With the new question "Several employees on one service" you decide whether every employee gets their own commission or the employees split it equally.

In the list of rules, every value has a colored label that tells where the rule comes from: "Own rule", "General of" and the employee's name, "For everyone", "General for everyone" or "Not set". A fixed commission is "Fixed per unit" — for example "5 EUR per unit" for every unit on the line.

A fixed commission is multiplied by the quantity on the line. If you have fixed rules for products you often sell in quantities above one, check their value in "Commissions" → "Settings".

The commission is calculated when the sale becomes paid and does not change afterwards. A change to a rule or a setting applies to sales paid after it. To apply it to commissions already booked, select them in "Reports → Commissions" and click "Recalculate".

The icon next to the commission amount in the report and in the sale opens "How the commission was calculated" — the steps, the amount it is calculated from, and the rule.

Price per visit in a membership​

The commission for a membership visit is calculated from the "Price per visit" — the share of the membership price that one visit accounts for. The VAT of the visit is worked out at the rate the membership was sold with. Consumables the client pays for separately at the visit are taxed at the VAT rate of their sale line, like any product.

When the visit prices in a membership add up to a different amount than its price, the membership form shows a note under the services. The same goes for a personal membership.

If your prices exclude VAT, the client also pays VAT on the consumables charged on top at a membership visit.

The commission for a visit follows the "VAT" question like any sale: with "The commission is calculated from the price without VAT." the VAT is deducted from the visit price. If you choose "The commission is calculated from the price with VAT.", it applies to all sales, not only visits.

Review the "Price per visit" in your memberships. If the visits add up to more than the membership price, their commissions are calculated from a larger amount than the client paid. After you change the plan, "Sync visit prices" carries the new prices to sold memberships, and "Recalculate" in "Reports → Commissions" carries them to commissions already booked.

Payments from the client's wallet​

Income is recorded when the client buys a voucher or tops up their wallet. When they later pay for a service with "Wallet balance", that payment is kept outside income:

  • "Payments by date", "Payments by location" and "Payments by collector" have a "Paid from the wallet" column;
  • in "Payments by payment method" the wallet is a gray row with the note "not included in income", and under the totals is "Paid from the wallet" with a "View payments" button;
  • in "Last payments" the amount of such a payment has no color, and the method is "Wallet balance";
  • the dashboard does not include payments from the wallet in the payments total.

Sales reports still include these services — they were sold and performed.

NHIS: e-referrals, e-prescriptions and templates​

For medical practices, the NHIS e-examination has new options:

  • E-referrals and e-prescriptions are issued from the examination itself — a referral for diagnostic activities, a consultation, a highly specialized activity or hospitalization, and a prescription with single or multiple dispensation. You can save a draft and issue it later, and below the dosage you see the exact text that will be sent to NHIS.
  • Examination templates fill in the examination in one step, and "Copy from previous examination" takes the data from the patient's last closed examination.
  • Correction: a closed examination is corrected with "Correct" and "Send correction to HIS".
  • "Accompanying diseases" and "Performed specialized activities" have their own sections, and "Onset of symptoms" is not required.
  • "List of examinations" shows today's examinations by default, with filters by status, specialist and medical facility.
  • "Substitution in HIS": the titular doctor registers the period in which another doctor substitutes for them.
  • The outpatient sheet follows the NHIF form, and long text continues on the next page. In the desktop application, "Print outpatient sheet" opens the sheet in the computer's PDF program, from which you print it.

To create templates, employees need the "Examination templates" permissions in their role. Anyone who writes examinations can apply a template.
