Check-ins

"Check-ins" are a separate operational flow for reception and access control. Use them when you work with a "Check-in service", track who has entered, charge entry or stay time, and want to see the linked sales and memberships.

This is not the standard appointments flow. If you work with time slots in the calendar, continue to Calendar. If you work with a front-desk entry and exit flow, start from this page and Reception.

When to use this page

  • when you need to start a new check-in quickly at reception;
  • when you work with client QR codes for entry and exit;
  • when you charge an entry fee or stay time;
  • when you want to open the linked sale or review the client history;
  • when you want to track membership usage through the check-in flow.

Before you start

  • You have at least one active "Check-in service" for the location where you work.
  • You have access to "Reception" and the required permissions to view, create, or update check-ins.
  • If you want to use the QR flow inside "Reception", you use the native mobile app.

Where the flow can start

There are three main entry points:

  1. from "Reception" -> "Check-ins" lane -> "Check-in";
  2. from "Client profile" -> "Check-ins" tab -> "Check-in";
  3. from "Reception" -> "Check-ins" lane -> client QR scan button.

How manual check-in works

In the manual flow, the system asks only for the missing selections:

  • location, if it is not already clear;
  • client, if you did not start from the client profile;
  • the "Check-in service" for the selected location.

After the final selection, the check-in is created immediately.

Important:

  • if there is only one active "Check-in service" for that location, it can be selected automatically;
  • if the check-in should open a linked sale, the system can open "Sale" right after saving;
  • if you start from the client profile, the client is already preselected.

How the QR flow works

The QR flow in "Reception" is separate from the general Barcode/QR Scanner. It expects a client QR code and works like this:

  • if the client has no open session, scanning starts a new one;
  • if the client already has an open session in the current location, scanning again performs "Check-out";
  • if the client has an open session in another location, the system opens that record instead of creating a second one.

This is the fastest option for reception and access control when clients enter and leave on site.

How Check-out works

You can close an active session from:

  • the card in "Reception" through "Check-out";
  • the detail view of the specific check-in.

At "Check-out", the system can:

  • save the exit time;
  • calculate the stay charge according to "Check-in pricing";
  • open the linked sale when there is still an amount due.

What you can see in the detail view

The check-in detail view shows:

  • the client;
  • the service and location;
  • status;
  • entered time, exited time, and total duration;
  • "Check-in method" and "Check-out method";
  • who performed the check-in and check-out;
  • linked membership, when one is used;
  • linked sale and payment status.

Where else check-ins appear

What is important to know

  • The check-in flow works only with a "Check-in service", not with a standard appointment service.
  • The available check-in services depend on the selected location.
  • The QR flow in "Reception" is available only in the native mobile app.
  • If there is a linked sale, you can open it directly from the check-in card and the detail view.
