Team tasks in Business
Tasks is where the team's internal work lives — the things that today sit on sticky notes, in a notebook or in the group chat: "call Maria about rebooking", "close the venue by the checklist", "order paint, we are running out".
A task has someone responsible or belongs to the whole team, it has a deadline, it can carry a checklist of steps, and it can be attached to a specific client, appointment, sale or product.
When to use this section
- When you want one place that shows what is still to be done and who has taken it on.
- When the same routine repeats every day or every week and you want the system to create it for you.
- When it has to be clear who did what and when.
- When something to be done relates to a specific client, appointment, sale or product and must not get lost.
Before you start
Tasks have their own permissions. The business owner sees the section straight away. For employees to see it, open the "Employees" list, choose "Roles" or "Edit Permissions" and add the task permissions. Until the role has them, the employee does not see the tasks entry. The details are in Roles and access permissions.
Who sees what
An employee sees:
- the tasks they are responsible for;
- the tasks they created themselves;
- tasks with nobody responsible in the venues they are attached to, as well as those with no venue selected.
A role can also be given the permission to see every task in the business. The owner sees all tasks.
Where to find them
There is no tasks entry in the left-hand menu. On a computer the way in is the bolt button in the top bar; on a phone it is the main menu.
- Desktop
- Mobile
Press the bolt button in the top bar ("Pending Approval") and choose "Due today or overdue".
Open the main menu and choose "Tasks".
There are two more ways in:
- the "Open tasks" block on the Dashboard shows how many tasks are waiting for you and opens the list;
- the client record, an appointment, a sale and a product each show a "Tasks" section with the tasks attached to that record.
The number next to the bolt and next to the main menu counts open tasks due by the end of today, overdue ones included.
How this section is organised
- Creating and tracking tasks — the fields of a task, the checklist, comments, filters and the "Who has what" screen.
- Recurring tasks — routines the system creates for you.
- Task categories — kinds of work and their colours.
Task notifications
The system sends five kinds of notification: when a task is assigned, when its deadline is approaching, when it passes, when there is a new comment, and when it is completed. By default they go out as an in-app notification and a push message; e-mail is off but can be switched on.
They are configured like every other notification — see Templates.
