Clients and Client Profiles in Business

This section covers day-to-day work with the client database: creating and editing clients, working in the client profile, groups, imports, duplicate checks, and merging profiles.

What you can do from the clients list

From the "Clients" screen you can:

  • create a "New client";
  • open "Manage groups";
  • import clients from a table through "Import clients";
  • import phone contacts in the mobile app;
  • export clients;
  • search for duplicates;
  • merge client profiles.

From the menu of a specific row you can also:

  • open "View client";
  • edit the client;
  • merge the profile with another one;
  • block or unblock online bookings;
  • delete or restore the client.

The most common workflow

In most cases the flow is:

  1. find the client in the list;
  2. open the Client profile;
  3. from the profile, create an appointment, sale, membership, form, or "Check-in" depending on the task.

The other pages in this section are supporting pages: import for bulk adding, groups for organization, duplicates for cleanup, memberships for client plans, and forms for collecting information.

When to open which topic

  • If you are working on one specific client, start with Client profile.
  • If you need to perform a "Check-in" for a specific client, you can also start from Client profile, the "Check-ins" tab.
  • If you are moving data from an old system or file, open Import clients.
  • If you want better structure and filtering, work with Client groups.
  • If you are finding duplicate profiles, use Duplicates and merge.

Important rules

  • First name is required when creating and editing a client.
  • Email is validated by format.
  • The subscription limit for the maximum number of clients is checked when creating and when restoring a deleted client.
  • If the client is blocked for online bookings, they will not be able to book online until you unblock them.
  • From the same menu you can also export the client database when you need the current list outside the system.
