Reception
"Reception" is an operational screen for day-to-day work. It brings together four separate lanes: "Check-ins", "Appointments", "Sales", and "Payment installments".
This is the best screen when your front desk needs to follow current visits, client entry and exit, and amounts that still need to be collected.

When "Reception" is most useful
- when you handle clients on site and need to see who is already inside;
- when you work with "Check-in" and "Check-out" from reception;
- when you want current records and related payments on one screen;
- when you collect due amounts from sales and installments.
How to open "Reception"
- From the main menu, open "Reception".
- Use the top bar for:
- date through "Today", previous, next, and the date picker;
- location or "All";
- manual refresh with "Refresh".
What you can see on this screen
"Check-ins"
This lane shows the current and completed sessions for the day.
The key parts are:
- search by client;
- "All for day" / "Inside" / "Checked out for day" filter;
- "Check-in" button for manual start;
- client QR scan button when the device supports it;
- a card with entered time, client, service, location, status, and duration;
- indicators for membership and amount due from the "Linked sale";
- quick actions to open the client, the sale, or "Check-out".
"Appointments"
- search by client;
- status filter;
- "All" / "Unpaid" / "Paid" filter;
- time, client, service, and when needed, location;
- a "Due" amount when the appointment has an unpaid sale;
- "Checkout" or "Sale" button depending on whether a sale already exists;
- direct status update from the card if you have permission.
"Sales"
- list of sales for the day;
- "Due" / "All" filter;
- payment status and remaining amount;
- direct access to the sale.
"Payment installments"
- list of installments for the day;
- "Due" / "All" filter;
- installment status and amount;
- direct access to the related sale.
How to work in "Reception"
- At the start of the day, select the date and location.
- If you work with on-site entry and exit, start from "Check-ins".
- If you work with the day schedule, use "Appointments".
- If you collect payments, review "Sales" and "Payment installments" with "Due" records first.
- Open the record you need directly from the card.
- Use "Refresh" to reload all four lanes after changes.
QR flow for check-ins
The QR flow in "Reception" is for client QR codes and is separate from the general Barcode/QR Scanner.
It works like this:
- if the client has no open session, scanning starts a new one;
- if the client is already "Inside" in the current location, scanning again performs "Check-out";
- if the client has an open session in another location, the system opens that record instead of creating a second one.
This button is available only in the native mobile app and only when you have permissions for both "Check-in" and "Check-out".
What is important to know
- By default:
- "Check-ins" opens with the "Inside" filter;
- "Appointments" opens with the "Unpaid" filter;
- "Sales" and "Payment installments" open with the "Due" filter.
- The selected date, location, and filters are remembered and open again with the same values.
- If you do not select a specific location, the cards also show the location name.
- "Refresh" reloads all four lanes.
- In "Check-ins", the "Due" indicator comes from the linked sale when that sale still has an amount to collect.
Access permissions
Lane visibility depends on your permissions.
- To see "Check-ins", you need access to "Reception" and permission to view check-ins.
- For "Check-in", you also need permission to create check-ins.
- For "Check-out", you also need permission to update check-ins.
- For client QR scanning in "Check-ins", you need both permissions and the native mobile app.
- The other lanes usually require permissions for viewing appointments, sales, and installments.
What "due" means
In "Reception", "due" means there is still an amount to collect.
- In "Check-ins", this is an amount from the "Linked sale".
- In "Sales", these are unpaid or partially paid records.
- In "Payment installments", these are installments with a not-paid status.
"Now" indicator
In "Appointments", the "Now" indicator helps you identify what is starting right now.
- Use it as a quick priority marker during busy intervals.
- Combine it with status filters for faster action.
In addition to "Now", the system also shows:
- "Upcoming" for appointments that start later;
- "Expired" for appointments whose time has already passed.
When to use "Refresh"
Use "Refresh" when:
- you just recorded "Check-in" or "Check-out";
- you just recorded a payment;
- a teammate changed a related record;
- the lists do not match the expected current state.
Common situations and quick fixes
- No records visible: check date, location, and filters.
- No check-ins for the day: verify the selected location and whether the filter is still set to "Inside".
- I cannot scan a client QR: make sure you are in the native mobile app and have permissions to create and update check-ins.
- The card still shows due although the payment was just recorded: use "Refresh".
- Cannot open a specific record: check access permissions.
Appointment status update from "Reception"
If your role has the required permissions, you can update appointment status directly from the appointment card:
- Select a new status from the status dropdown inside the card.
- For critical statuses, the system asks for confirmation.
- On success, you see an on-screen confirmation.
If the update fails, the system restores the previous status to prevent inconsistent state.
