Find a booking time with Booking Assistant
Booking Assistant helps you find a suitable appointment time without checking the calendar manually. It uses the selected services, location, employees, resources, and working hours to suggest possible booking options.
When to use it
Use "Find booking time" when:
- the client wants the first available time for a specific service;
- the service depends on an employee, a resource, or both;
- you are rescheduling an existing appointment and want the system to suggest alternatives;
- the calendar is busy and manual checking across employees and resources is slow.
Before you start
The appointment form needs:
- a selected location;
- at least one service;
- valid duration for each service;
- employees or resources configured according to the service.
If there is no selected service or location, the assistant cannot start the search.
How to start it
- Open a new or existing appointment.
- In "Services", add the service or services.
- Select "Find booking time".
- In "Find available time", configure the search.
- Choose a suitable option from the results.
The selected option fills in the time, employees, and resources in the form. The appointment is saved only when you click "Create" or "Save".
What you configure in the search
The search window includes:
- "Start date and time" — where the search starts;
- "Search period" — how far ahead to look;
- "Check every" — the interval used for checking slots;
- "Working hours" — whether to use automatic logic, employee hours, or location hours;
- "Show unavailable/conflicting options" — whether to include options with warnings.
When rescheduling an existing appointment, you may also see "Keep current staff/resources". Use it if the new time should keep the same assignments.
How to read the results
Results appear as "Suggested booking options". For each option you can:
- review the time and duration;
- check which employee or resource will be used;
- open details for warnings or conflicts;
- choose the option and apply it to the form.
If you enabled conflicting options, some results may be useful only for diagnosis. Review the warnings before choosing them.
If no time is found
When the system does not find a matching slot, it shows a summary and the most common reasons. Common next steps are:
- increase the search period;
- reduce the checking interval if you need a finer time grid;
- enable options with warnings so you can see where the conflict is;
- check that the service has employees or resources in the selected location;
- check working hours, blocked time, and existing appointments.
What the assistant does not do
Booking Assistant does not save the appointment automatically and does not change service settings. It only suggests possible times based on the current form data and calendar setup.
