Switch to another membership plan
This page is for cases where a client already has an issued membership and needs to move to another membership plan. The flow keeps usage history, shows the financial impact, and lets you review how visits will transfer to the new plan.
When to use this page
Use it when:
- the client needs to move from one standard plan to another;
- the old membership already has usage and you want to keep that history;
- you need to see how the switch affects the sale, balance, payments, or installments;
- used services need to be mapped to services in the target plan.
Do not use this flow if you only need to edit the date, location, or usage count of the current issued membership. That is done from the membership edit screen.
Before you start
Switch to another plan is available only when the issued membership:
- is not expired;
- is not deleted;
- is not deactivated;
- has not already been migrated to another plan;
- has a linked sale.
If any of these conditions is not met, the action cannot be used for that membership.
Where the switch starts
- Open Issued memberships.
- Find the membership by client, plan, or Code.
- Open View membership.
- From the details menu choose Switch to another plan.
The system opens the Switch membership plan window.
How to choose the target plan
The window first shows the current plan, its period, and used count. Then:
- In Target plan, choose Select membership.
- Select the new membership plan.
- Review Target selling price.
- When needed, set Target access location.
- When needed, add a New note.
The new membership starts from the source start date and expires according to the target plan settings.
What the preview shows
Before confirmation, the system loads a preview of the change.
Possible sections are:
- Blockers — the switch cannot be confirmed until these problems are resolved;
- Warnings — details you should review, but they do not always stop the flow;
- Financial impact — shows the source membership row, target membership row, adjustment row, net sale effect, sale total, and sale balance before and after the change;
- Summary — shows the start and end of the new membership;
- Usage transfer — shows how already used visits transfer to the new membership;
- Change mapping — lets you manually change mapping when used services need to be transferred to services in the target plan;
- Services starting clean — shows services in the new plan that start without transferred usage.
If the preview shows Blockers, resolve them first or choose another target plan.
How to confirm the switch
- Review Blockers and Warnings.
- Review Financial impact.
- If services need mapping, review Usage transfer and use Change mapping when needed.
- Choose Confirm plan switch.
After confirmation, the system shows that the switch is completed and opens the linked sale when possible.
What the result is
After a successful switch:
- the old membership stays in history as migrated to another plan;
- the new issued membership becomes the current membership for the client;
- usage is transferred according to the preview;
- the linked sale is updated with a target membership row and an adjustment row for the source membership;
- you should review the balance, payments, and installments in the sale.
If you see a warning that the membership was migrated to another plan, that source membership is no longer edited like a normal active membership.
Common problems
- If Switch to another plan is unavailable, check whether the membership is expired, deleted, deactivated, already migrated, or missing a linked sale.
- If you see Plan switch cannot be confirmed. Review the blockers and try again., go back to Blockers.
- If the preview cannot be loaded, check the selected target plan and try again.
- If the sale does not open automatically after a successful switch, open it manually from the membership history or related rows.
