Employees

This is where you manage the people who work with clients and take part in bookings. An employee can be used only for schedules and bookings without having access to Business. User access is created or linked only when you enter "Email".

From this section you:

  • add new employees;
  • connect them to locations and services;
  • assign roles and permissions;
  • decide whether they are visible in the calendar and whether they accept online bookings.
  • manage whether the employee has access to the system.

What you see in the list

In the employees list you see:

  • name and profile;
  • contacts;
  • locations;
  • roles;
  • calendar status;
  • online booking status;
  • active or inactive status.

From here you can:

  • add a "New employee";
  • open "Roles";
  • edit a specific employee;
  • open "Work Schedule";
  • open "Edit Permissions" when the employee has user access and is not the business owner profile.

What you configure in the form

  • "First Name" and "Last Name";
  • "Employee title (optional)" and calendar color;
  • phone and "Email";
  • services the employee performs;
  • "Locations" where the employee works;
  • "Roles";
  • "Inventory locations", if the employee needs access to specific inventory locations;
  • "Acceptance of appointments", "Active employee", and "Online booking".

Important:

  • "First Name" is required;
  • at least one location is required;
  • "Email" is not required;
  • if you enter "Email", phone also becomes required;
  • if you enter an email, the system creates or links a user profile and you should review roles and permissions;
  • the number of employees is checked against the subscription plan limit.

Steps

  1. Open "Employees".
  2. Click "New employee".
  3. Fill in the core details and contacts.
  4. Connect the employee to the services they perform.
  5. Select at least one location.
  6. Assign roles if needed.
  7. Configure:
    • "Acceptance of appointments"
    • "Active employee"
    • "Online booking"
  8. Click "Save".

When the employee has access to Business

The employee has user access to Business only if a user profile is linked. This happens through "Email":

  • if the email is not entered, the employee can participate in services, schedules, and bookings, but cannot sign in to Business;
  • if the email is entered, the system creates a new user or links an existing user with the same email;
  • the system sends an email that the employee has been assigned to the business;
  • if the user profile is new, the email includes first-login details and a password reset link;
  • real access to screens and actions depends on "Active employee" and the assigned roles or individual permissions.

After saving a new employee with email, if there are no assigned roles or permissions, the system shows "Permissions not set". From there you choose:

  • "Full" — assigns all available permissions;
  • "Custom" — opens "Employee Permissions" so you can choose specific roles and permissions.

Later, you can change access from "Edit Permissions" in the list or from "Permissions" in the employee form actions.

Result

The employee becomes available for services, schedules, and bookings according to the active settings. If they have user access, they can work in Business only according to their active status and assigned roles or individual permissions.

If the issue is with the employee

The most common reason is one of these:

  • "Active employee" is disabled;
  • "Acceptance of appointments" is disabled;
  • the employee is not connected to the correct location or service;
  • the employee has no "Email", if you expect them to sign in to Business;
  • the employee has no roles or individual permissions;
  • if the location uses employee working hours, there is no schedule for the correct month.

Important

  • "Acceptance of appointments" controls whether the employee appears in the calendar for booking.
  • "Online booking" controls whether the employee can take part in online booking flows.
  • "Active employee" controls whether the employee is active and can work with the system.
  • Access permissions are managed separately from the main form.
  • If you want to temporarily stop an employee's access to Business, disable "Active employee" or remove the email from their profile.
  • From the form of an employee with user access, you can use "Reset password" to send a password reset link.
  • From the list, you can directly open the "Work Schedule" action for a specific employee.
