Recurring tasks

The closing checklist every evening, the stocktake every Monday, the supplier order at the start of the month — you set the pattern once and the system creates the task for you.

How to make a task repeat

  1. Open the task that will serve as the template.
  2. From the "Actions" menu choose "Make this task repeat".
  3. Fill in the recurrence pattern and save.

The form is the same one used for recurring appointments. Its fields are described in detail in Recurrence rules.

After that, the action on the same task is called "Edit recurring pattern".

What each occurrence gets

Every created task comes with:

  • the same title and description;
  • the template's whole checklist;
  • the same people responsible;
  • a deadline based on the occurrence date;
  • the status "Open".

Comments are not copied — they stay on the task they were written on.

How to recognise them

  • The template is marked as a "Repeating task".
  • A created task carries "Created from a repeating task." and a "View pattern" button that opens the rule itself.

What is important to know

  • A change to the template applies to occurrences created from then on. Tasks that already exist stay as they are. The system tells you so when you edit: "This task repeats. Changes apply to occurrences created from now on; the ones already generated stay as they are."
  • A created occurrence cannot get a rule of its own. It repeats because the template does.
  • Deleting the template stops the routine. On deletion you see "This task is the template of a repeating routine. Deleting it stops the routine."
  • To pause a routine without deleting anything, switch off "Active" in the rule itself.
tip

If the routine is a list of steps — locking up, switching off the lights, restocking — put the checklist on the template. Every occurrence gets it ready-made and you can see how far the team has got.
