Duplicates and merge

This page is for cases where the database contains two or more profiles for the same client. First you search for duplicates, then you decide what should be transferred into the main profile.

Searching for duplicates

Open "Clients" -> menu -> "Search duplicates".

The screen shows duplicate groups by:

  • email;
  • phone;
  • name.

For each group you can:

  • open a specific profile;
  • start a merge for the profiles in that group.

Manual merge

Open "Clients" -> menu -> "Merge client profiles".

In the merge screen:

  1. the first profile is the main profile that will keep the final data;
  2. you add more profiles to merge;
  3. for each additional profile you choose what should be transferred.

What can be transferred

For each additional profile you can choose:

  • Appointments
  • Sales
  • Notes
  • Discounts
  • Groups
  • Memberships

Optionally, you can also enable "Delete this profile after merge".

How to decide which profile should be the main one

Usually it is best to keep as main the profile that:

  • has the most complete data;
  • is connected to more history;
  • is already used actively by the team.

Important rules

  • At least two profiles are required for a merge.
  • All selected data is transferred into the first profile in the list.
  • Merging is irreversible and should be done carefully.

When to use which screen

  • Use "Search duplicates" when you want the system to show likely matches.
  • Use "Merge client profiles" when you already know which profiles should be merged.
