Appointment actions
Before this page, you already need to have a saved appointment. If you are still creating the booking, start from Create and save an appointment.
This page is about the additional actions on an existing appointment. These are the actions you most often open from the more-options menu or from the "Additional" button.
Where they open from
You will usually see them in 2 places:
- from the appointment view screen through "Additional";
- from the edit screen through the more-options menu.
Important:
- the exact list can differ slightly depending on whether you are in view or edit mode;
- some actions appear only after the appointment already exists;
- some actions depend on whether the appointment has clients, documents, or a recurrence rule.
Reschedule
Use "Reschedule" when you want to move an existing appointment to another time in the calendar.
How it works:
- Open the appointment.
- Choose "Reschedule".
- The system returns you to the calendar and shows a bar asking you to choose an empty slot.
- Select the new time in the calendar.
- Confirm the change if the system asks for it.
Important:
- this action works through the calendar, not only inside the modal;
- if you are in an unsupported view, the system asks you to switch to day or week view;
- you cannot move the appointment to another location;
- if you cancel, you can stop the mode from the calendar bar.
Single duplicate
Use "Single duplicate" when you want to create one new appointment based on the current one.
How it works:
- Open the appointment.
- Choose "Single duplicate".
- The system returns you to the calendar and shows a bar asking you to pick a new date.
- Select a day and time in the calendar.
- A copy of the appointment opens, and you review it before saving it as a new appointment.
Important:
- the new appointment is not saved automatically without review;
- if you are in an unsupported view, the system asks you to switch to day, week, or month view;
- if you cancel, you can stop the mode from the calendar bar.
Duplicate by datetime
Use "Duplicate by datetime" when you want to create several new appointments at once.
How it works:
- Open the appointment.
- Choose "Duplicate by datetime".
- In the calendar modal, select all needed dates.
- If needed, enable "Duplicate clients in new appointments".
- Save the action.
This is the right choice when you want several separate future appointments, but not a full recurrence rule.
Recurrence rule
From the appointment menu you may see:
- "Create recurrence rule";
- "Edit recurrence rule";
- "View rule".
Use these actions when the appointment should become the template for future repeating appointments.
In practice:
- use "Create recurrence rule" if the current appointment does not have a rule yet;
- use "Edit recurrence rule" if the rule already exists and you want to change it;
- use "View rule" when the appointment is already linked to a rule and you want to open the rule itself.

Reviews
Use "Reviews" when you want to open or create a review for a client from the current appointment.
In practice:
- if the appointment has no client, the action cannot continue;
- if there is only one client, the system opens the existing review or the review invite directly;
- if there is more than one client, you first choose which client to continue with.
This action is most useful after a completed visit, when the operator wants to track or finish the review flow for a specific client.
Send SMS to clients
Use "Send SMS to clients" when you want to manually send a message to the clients in this appointment.
Important:
- this action works only if the appointment already has at least one client;
- when there is more than one client, the message is prepared for the clients in this appointment;
- this is a manual action and does not replace the automatic notifications from Notifications.
Documents, gallery, and portfolio
Depending on the screen, you may see:
- "Documents";
- "Media manager";
- "Portfolio manager".
In practice:
- "Documents" and "Media manager" are for files and images attached to the appointment for internal work;
- "Portfolio manager" is for images that can become public in the online profile.
Activity log
Use "Activity log" when you need to review what has changed in the appointment.
This is useful when:
- you need to check who changed the time, service, client, or status;
- you want to verify whether the appointment was already updated;
- you need to understand why the current state differs from the original one.
Delete and restore
From the appointment view screen you may also see:
- "Delete";
- "Restore".
Use them only when the appointment really needs to be removed or brought back. The detailed flow stays in Calendar, because that is where the action most often starts.
Which action is the right one
- Use "Reschedule" when you want the same appointment to stay, but at another time.
- Use "Single duplicate" when you want one new appointment with similar content on another date.
- Use "Duplicate by datetime" when you want several future copies at once.
- Use "Create recurrence rule" when this should become an ongoing repeating schedule.
- Use "Delete" only when the appointment should no longer remain as an active record.
