Employees

Employees define who performs the services, which locations they work in, and what availability clients will see in the calendar and online profile. If an employee needs to sign in to Business, they must have "Email", be active, and have assigned roles or permissions.

What to do

  1. Open "Employees".
  2. Choose "New employee".
  3. Fill in the core details:
    • "First Name" (required)
    • "Last Name" (optional)
    • "Email" (optional)
    • phone, title, and calendar color if needed
  4. Select at least one location in the locations section.
  5. Optionally assign services and predefined roles.
  6. Review the three main switches:
    • "Acceptance of appointments"
    • "Online booking"
    • "Active employee"
  7. Save with "Save".

What is required

  • "First Name"
  • at least one selected location
  • phone, if you enter "Email"

What happens when you enter an email

  • The system creates or links a user account to the employee.
  • An email is sent to notify the employee that they are assigned to the business.
  • If a new user is created, the email also includes first-login details and a password reset link.
  • If you have not selected a role and no permissions are assigned, the system shows "Permissions not set".
  • Choose "Full" if the employee should have all permissions, or "Custom" if you want to assign specific roles and permissions.
  • Later, you can also send a separate password reset link from the employee actions.

What matters

  • "Acceptance of appointments" controls whether the employee is visible in the booking calendar and can participate in appointments.
  • "Online booking" controls whether the employee accepts online bookings.
  • "Active employee" should be enabled if the employee will be used actively or will have access to Business.
  • Roles can be selected in the form, while individual permissions are configured separately from the permissions screen.
  • An employee without email can participate in services and bookings, but cannot sign in to Business.
  • Employees need working hours to actually participate in availability when the location uses employee schedules.
