Warehouses
The Warehouses page defines where stock is stored and who can work with it.
These are not the business locations from scheduling or the online profile. They are stock locations for products.
The role of warehouses
- Create a separate warehouse when you want quantities to be tracked separately.
- Each warehouse has its own employee access.
- Each warehouse has its own cost calculation method.
- Warehouses are the points used in deliveries, transfers, and stocktakes.
What you see in the list
- Name - warehouse name.
- Assigned employees - the employees who have access to this warehouse.
- Active - active state indicator.
Creating and editing a warehouse
In New warehouse or Edit warehouse, you configure:
- the Warehouse name;
- the Cost calculation method;
- whether the warehouse is active;
- which employees have access to it.
Cost calculation method
Each warehouse has its own cost calculation method for sales:
- Weighted average cost - the system uses an average cost based on the different purchase prices of the product;
- Last cost - the system uses the latest purchase cost of the product.
Choose the method that matches the way you want to track cost. This setting affects cost calculation, but it does not load or move quantities by itself.
When to create a new warehouse
- when you store products in a separate place and want to see the quantity separately;
- when different employees should have access only to specific stock;
- when you want to move quantities between two stock points through transfers.
Actions from the list
- New warehouse - creates a new location.
- Edit warehouse - edits the location.
- Delete warehouse / Restore warehouse - deletes or restores the location.
Where warehouses are used
- in Products for stock quantities and replenishment levels;
- in Orders and transfers as the source and target of stock movement;
- in Stocktakes as the warehouse you count.
Good practice when building the structure
Create the warehouses first and the products after that. This lets you set Low stock level and Reorder quantity against the correct warehouses during product setup.
