Recurrence rules
"Recurrence rules" automatically create future appointments based on a pattern you set. A rule is created on top of an already saved appointment, which acts as the template.
When to use recurrence rules
- When the same appointment repeats regularly.
- When you want the system to prepare future appointments instead of creating them manually each time.
- When you work with a fixed schedule and repeatable services.
How to create a rule
- Create and save the appointment that will serve as the template.
- Open the appointment.
- From the extra actions menu, choose "Create recurrence rule".
- Fill in the rule settings.
- Check the preview in the "Preview" section.
- Save the rule.
What you configure in the form
- "Repeats" Choose whether the rule is daily, weekly, or monthly.
- "Interval"
Defines how often the rule repeats. Value
1means every week, every day, or every month; value2means every second period. - "Weekdays" Appears for weekly recurrence. Choose on which days appointments should be generated.
- "Day of month"
Appears for monthly recurrence. You can enter a value from
1to31, or a negative value such as-1for the last day of the month. - "Days ahead"
Controls how far into the future the system should prepare appointments. The maximum value is
30. - "Copy clients from template" Appears when the template is an appointment. When enabled, the clients from the template are copied into the generated appointments.
- "First recurrence date & time" Defines when the rule itself starts. This is not simply the template appointment date, but the start of the recurring pattern.
- "Stop on a date and time" When enabled, you define when the rule should stop.
- "Active" Lets you temporarily pause generation without deleting the rule.
What is important to know
- The rule keeps the template appointment as its source and uses its start time.
- In the "Preview" section, you can see which future dates will be created based on the current settings.
- If you turn off "Active", the rule remains saved but stops creating new future appointments.
- If the template is deleted, the rules list shows that the template is deleted.
How to manage rules
From the "Recurrence rules" list, you can:
- filter active rules;
- open and edit an existing rule;
- delete a rule;
- restore a deleted rule.
The list shows:
- the recurrence pattern;
- the start date;
- how many days ahead appointments are generated;
- the template appointment;
- whether the rule is active.
When to edit the template appointment
If you want to change the actual service, employee, resource, or another template detail:
- Open the template appointment.
- If needed, open the rule from "View rule".
- Update the rule or the template depending on what you need to change.
