Blocked time

“Blocked time” is a temporary restriction for new bookings during a selected period. Use it for breaks, absences, events, repairs, or when a resource should not be bookable.

Where to open it

You can work with blocked time in two ways:

  • from "Working hours" -> "Blocked time", where you see and manage all entries;
  • directly from the Calendar, when you need to close a specific period quickly.

In practice:

  • use Calendar when you want to close a single period in the current day or week;
  • use the Blocked time list when you need to review, edit, or manage multiple entries.

What you configure

In the form, you choose:

  • what is blocked: location, employee, or resource;
  • start and end date;
  • start and end time;
  • reason;
  • color.

When the blocked time is for an employee or resource, you can also optionally select a specific location.

How to use it

  1. Open "Blocked time" or add a new blocked period from the Calendar.
  2. Choose whether the blocked period is for a location, employee, or resource.
  3. Fill in the start and end date and time.
  4. Optionally add a reason and color.
  5. Save the changes.

How it affects bookings

  • If the blocked period is for a location, it affects the whole location for that period.
  • If it is for an employee, it affects only that employee’s availability.
  • If it is for a resource, it affects only bookings that require that resource.
  • For online bookings, blocked time removes slots that would otherwise be available.

What priority it has

Blocked time takes priority over the normal schedule. If a slot is normally working but falls inside blocked time, it will not be available for new booking.

When not to use it

  • If you are changing the permanent schedule of the location, edit By location.
  • If you are changing the regular employee shifts, edit By employees.

If you want to first see how the blocked period looks in the real schedule, start from Calendar.

note

Blocked time is best for temporary exceptions. Do not use it as a replacement for the main working schedule.

Frequently asked questions

Can I block a resource without blocking the whole location?

Yes. Choose the “Resource” type and select the specific resource.

Can I block more than one day?

Yes. The form has a start date and end date, so you can block a longer period.

What is the difference between blocked time and working hours?

Working hours are the main schedule. Blocked time is a temporary restriction within that schedule or for a specific location, employee, or resource.
