AI connectors in practice: Claude and ChatGPT for your business

A conversation with Claude or ChatGPT: a question about the schedule, an answer with the day's appointments and a change waiting for confirmation, connected to the calendar in Reservation.Studio

An AI connector connects Claude or ChatGPT to Reservation.Studio Business. The AI application answers from your own data — the schedule, the clients, the tasks and the reports — and with your permission books, moves and cancels appointments, blocks time and works with the team's tasks.

The answer to almost any question about your business is already in Reservation.Studio — in the calendar, in the client profile, in the reports. To see it, you open a screen, pick a period and set filters. With an AI connector you simply ask Claude or ChatGPT, by typing or by voice, and get the answer in the conversation.

This guide does not explain the settings. It shows what you can ask for in specific moments of the working day. Pick the ones you need — how to switch the connector on is at the end.

What you gain with an AI connector

  • An answer instead of a search. "How much came in this week, by employee?" — no report, period or filters. The next question continues from the last one: "And last week?".
  • Your business in your pocket. Ask from your phone, on the way or between two clients — by typing or by voice.
  • Changes in one sentence. "Move Ivan's appointments for tomorrow to Thursday." Nothing changes until you say "yes".
  • You stay in control. The owner decides who uses a connector and who may make changes, and the connector sees only what the person sees in Reservation.Studio.
note

AI connectors are in beta. AI applications can make mistakes — check the important things in Reservation.Studio.

A working day with an AI connector

In the morning, before the first client

  • "What do I have today?"
  • "Who is booked for yoga at 6 pm?"
  • "Who is away this week?"

The AI application lays out your day by the hour — who is coming, for what and with whom.

A client calls for an appointment

  • "When is there a free slot for a manicure with Petya on Thursday?"
  • "Book Maria Ivanova for 2 pm."
  • "Add Maria to the Pilates class on Wednesday at 6 pm."

Free times take into account working hours, booked appointments, blocked time and resources. Only clients who are already in Reservation.Studio can be booked, and each gets the usual confirmation. For a group class it checks that there is a free place.

An employee is off sick

  • "Ivan is ill tomorrow. What is on his schedule?"
  • "Move his appointments to Thursday and notify the clients." — or: "Cancel them."
  • "Block Ivan for tomorrow."

Before every change you see exactly what will happen: which appointments, at which times and how many clients will get a message. When moving appointments, clients are notified only if you ask for it. Blocked time does not cancel or move booked appointments — say separately what to do with them.

A client at reception

  • "Show me everything about Elena Petrova — when she was last in, when she is next booked and whether she owes anything."
  • "How many visits does she have left on her membership, and until when is it valid?"

The team's tasks

  • "Which tasks are overdue, and who has them?"
  • "Ask Petya to order paint by Friday."
  • "Close the delivery task and add a comment that it has arrived."

The description before the change says who will get a notification — for example the person you assign the task to.

At the end of the week

  • "How much came in this week, by employee?"
  • "How do clients pay most often — cash or card? And by location?"
  • "How many sales had a discount?"
  • "How much commission has Ivan earned this month?"

Revenue by employee counts sales paid in full, as the screen in the application does. If you also need partly paid sales, say so.

Once a month: bring your clients back

  • "Which clients have not been in for more than three months?"
  • "Which of them have had a colour treatment and accept marketing messages?"
  • "Add them to the 'Invite back' group."
  • "Whose birthday is this month?"
  • "Which memberships did we sell in October, and how many of them have not been used yet?"

How the AI application makes changes

Only a person with "Can act" switched on can make changes. Every change goes through three steps:

  1. You say what to do: "Ivan is ill tomorrow. Move his appointments to Thursday."
  2. Reservation.Studio describes what will happen, and the AI application shows it to you.
  3. You say "yes". Only then is the change saved — under your name.

If something in the description is not what you want, say so before you confirm: "No, only the morning ones."

Some things are done only in Reservation.Studio: deleting clients and tasks, recurring tasks, working hours and shifts.

Tips for more accurate answers

  • Name the period: "this week", "in October", "from 1 to 15 November". The AI application reads the schedule for at most 62 days at a time, and free times up to 14 days ahead. The exception is a single client: "Cancel all of Maria's future appointments" finds everything she has booked.
  • Name the location and the person when you have more than one: "at the Lozenets location", "with Ivan". If you work in more than one business, name the business too.
  • Ask one thing at a time, then go on: "And by employee?", "And last month?".
  • Appointment reports count the booked services, including cancelled ones and no-shows. If you need the number of visits, ask about the schedule for the period.
  • Voice: Claude's voice mode works with the connected tools. Whether it understands your language depends on the AI application itself.

How to start

  1. The owner opens "Integrations" → "AI connectors" → "Settings", switches on "Allow AI connectors in this business" and chooses "Access" for the people who will ask. "Can act" is switched on only for the people who also need to make changes.
  2. Each person opens "My AI connectors" — in the desktop version from the user menu at the top right, and in the mobile app from the navigation — and chooses "Connect an AI connector". For Claude there is a "Connect with Claude" button. In ChatGPT the address https://mcp.reservation.studio/business is added from Settings → Apps with developer mode switched on.
  3. Sign in with the same account you use in Reservation.Studio, choose "Connect" and ask the first question: "What do I have today?".

The business needs an active subscription, and each person their own Reservation.Studio account. Details: AI connectors and My AI connectors.

Security and data

  • The connector sees only what the person who connected it sees, according to the permissions of their role.
  • Clients' phone and email are partly hidden unless the role has the "View sensitive information" permission.
  • What the connector reads is sent to the provider of the AI application and handled under that provider's terms.
  • Reservation.Studio records who used a connector, when and for which action, but does not keep the content of the questions and answers.
  • Each person can turn their own connector off with "Turn off everywhere", and the owner can turn off the connectors for the whole business.

When the AI application says no

  • It says it reaches no business — the owner has not switched on AI connectors or your "Access", or the business subscription is not active.
  • It refuses a change — "Can act" is not switched on for you, or your role does not have the permission for that action.
  • It does not show a report — reports on revenue, payments, sales and appointments need Reports PRO, and those on commissions and memberships the matching feature. Your role must also have permission to see the report.
  • The time is taken — the AI application says which time is taken and does not book over another appointment. Ask it to suggest free times.

Frequently asked questions

What is an AI connector in Reservation.Studio?

A connection through which Claude or ChatGPT read your business data in Reservation.Studio Business — the schedule, the clients, the tasks and the reports — and, with your permission, make changes. It works on the open MCP standard (Model Context Protocol), which AI applications use to connect to other systems.

Which AI applications do AI connectors work with?

Claude and ChatGPT. Each person on the team connects their own AI application from "My AI connectors".

Can Claude or ChatGPT book appointments in Reservation.Studio?

Yes, if the owner has switched on "Can act" for you. Before every change Reservation.Studio describes what will happen, and the AI application waits for your "yes". Only clients who are already in Reservation.Studio can be booked.

Who sees my clients' data?

The connector sees only what the person who connected it sees. Clients' phone and email are partly hidden without the "View sensitive information" permission. What the connector reads is sent to the provider of the AI application and handled under that provider's terms — that is why AI connectors stay off until the owner switches them on.

What do I need to start?

An active subscription for the business, your own Reservation.Studio account, access to Claude or ChatGPT, and the owner's permission in "Integrations" → "AI connectors".

Can I ask by voice?

Yes, through Claude's voice mode, which works with the connected tools. Whether voice understands your language depends on the AI application itself.
