A Calendar That Bends to You: How to Set It Up for a Studio, Salon or Clinic
Every business with bookings looks at the same screen several times a day — and everyone looks at it differently. A solo practitioner wants today and the gaps in it. A salon with six chairs wants a column for every person. A studio wants to see at a glance which classes are full, which have a waitlist and which have not reached the minimum yet. A clinic wants to see which rooms are taken.
The calendar in Reservation.Studio has no single fixed look: you shape it to the way you work. The view, the rhythm, the colors and the appointment card itself become what you need. This guide walks you through the settings and gives you ready recipes for four kinds of business.
Who this guide is for
- You are looking for a booking calendar for a salon, a studio, a clinic or your own practice and want to see how much it can be shaped before you decide.
- You already use Reservation.Studio and want the calendar to be more comfortable for your team.
- You work with group classes, many employees or rooms, and a calendar that looks the same for everyone does not fit you.
What you will achieve
- A calendar that opens straight in the view you use most.
- An appointment card with exactly the information you need, in the order you need it.
- Colors that let you tell a service or an employee apart at a glance.
Start with a view: eight ways to look at your schedule
From "Calendar" → "Calendar settings" → "View" you choose how the calendar opens:
- "Day" and "Week" — one column per day with the appointments of the whole team. "Week" suits a studio with group classes, where a column for every person would make the week too wide.
- "Day by employees/resources" and "Week by employees/resources" — each day is split into columns by employee or resource. This way every person and every room has a column of their own.
- "Month" — the whole month, one row per week.
- "List day", "List week" and "List month" — the appointments as a list.
Show only what you need: choose the "Location", the employees and the resources you want to see, and with "On shift" → "Only working" the calendar hides those without working hours.
Rhythm: dense or airy
The schedule has no single right look. You decide how dense it is:
- "Slot duration" — the step of the time grid, from 5 to 90 minutes in steps of 5. For example 15 minutes for short services and 60 for classes.
- "Outside working hours" — from 0 to 6 hours before and after the working hours, if you sometimes book outside them.
- "Zoom" — from 100% to 300%. Taller rows give bigger cards with more room for text. At a high zoom the calendar scrolls.
- "Minimum column width" — from 80 to 240 px. A big team? Narrow the columns and see them all. Two people? Widen them.
- "Appointments overlap" — appointments at the same time can lie on top of each other or sit side by side.
Zoom and column width appear only in the views where they make sense.
The card: only what you need, in the order you read it
The appointment card is where the calendar becomes yours. In "Appointment card" → "What the card shows" you arrange nine elements:
"Time & icons", "Group occupancy", "Client", "Service", "Client statuses", "Employee", "Resource", "Price" and "Notes".
Each has a switch and the arrows "Move up" and "Move down". A sample card sits above the list: while you move and switch, you see at once how an appointment will look at your zoom and your column width. No guessing.
One appointment, five looks
The cards below show the same appointment. Only the settings in "What the card shows" and "Coloring by" change.
| The card | Setting |
|---|---|
| Only "Time & icons" and "Client" — for a quick glance. | |
| "Service" is added. | |
| "Employee", "Resource" and "Price" are on as well. | |
| The same elements, reordered with the arrows: "Service" and "Price" on top, the client after them. | |
| "Coloring by" → "Employee": the card takes the color of the employee instead of the service. |
Three more card settings:
- On a short card the top rows stay visible — put the most important things at the top.
- "Wrap long text" puts long text on a new line instead of cutting it with an ellipsis.
- "Coloring by" colors the appointments by "Service" or "Employee". On a busy day a color helps you tell appointments apart faster.
And if something is not to your taste, "Default" restores the order and the switches of the elements.
Group classes: full, waiting, minimum — at a glance
A group class card shows more: the seats taken, for example 6/13, and the clients waiting, for example +2. Along the bottom edge there is a colored strip: each color is the share of the seats held by clients with a given status, and a marker shows the minimum the class needs to run. When the class is full, the count is on a dark background; when it is overbooked, the whole strip turns red.
Turn on "Client statuses" and the card adds the number of clients by status — for example confirmed and waiting.
| The card | What it shows |
|---|---|
| Only "Group occupancy": 6 seats taken out of 14, and the strip along the bottom edge shows their share. | |
| With "Client statuses" and "Employee" on: 3 seats taken out of 12 — the class has not reached the minimum of 6 yet. | |
| A full class: 14 out of 14 seats, two waiting (+2) and the number of clients by status. |
Four recipes for four kinds of business
Solo practitioner
You work alone and want to see today and the gaps in it.
- View: "Day".
- Rhythm: a slot of 15 or 30 minutes, zoom 100%.
- Card: "Time & icons", "Client", "Service", "Price". Turn on "Notes" if you write there what matters about the client.
- Colors: by "Service" — the different treatments stand apart at first glance.
Salon with a team
Every person has a column and everyone is visible at once.
- View: "Day by employees/resources", "On shift" → "Only working".
- Rhythm: a 15-minute slot; if the team is big, narrow the "Minimum column width".
- Card: "Employee" can stay off — the column says who it is.
- Colors: by "Service".
Yoga and pilates studio
Classes with limited places, a waitlist and a minimum.
- View: "Week".
- Card: "Time & icons" and "Group occupancy" on one row, then "Service" and "Employee" for the instructor, while "Client statuses" show how many are confirmed and how many wait.
- Colors: by "Service" — every kind of class has its own color.
- Bonus: the strip along the bottom edge tells you which classes have not reached the minimum yet.
Clinic with rooms and equipment
Rooms, devices and specialists who must not overlap.
- View: "Day by employees/resources".
- Card: turn on "Resource" and "Employee".
- Zoom: 125% or 150% with "Wrap long text" on, if the cards carry longer notes.
- Colors: by "Service" — the kind of treatment is recognized by its color, while the room appears on the card when "Resource" is on.
A 5-minute setup
- Open "Calendar" → "Calendar settings".
- In "What the calendar shows" choose "View", the location, employees and resources.
- In "Grid" set "Slot duration", "Zoom" and "Minimum column width".
- In "Appointment card" choose "Coloring by", then the elements and their order — follow the sample card.
- Press "Apply settings".
The settings are remembered, and the calendar opens with the same preferences next time. They are personal: what you set does not change your colleagues' calendars.
More in the calendar
- Blocked time stands as a bar at the top of the day and does not cover the appointments.
- When a colleague adds blocked time or changes the working hours, your calendar updates at once.
- In the desktop version "Print schedule" makes a PDF of the weekly or monthly view.
