Working hours by employees
Define when each employee works and in which location. These schedules determine availability in the calendar and online (according to the “Use working schedule from” setting).
What you will learn
- How to add intervals/shifts for employees per location.
- How schedules impact slots in the calendar and online bookings.
- Helpful filters and permission notes.
Steps
- Go to "Working hours" > "Working hours by employees".
- Select an employee and location (if the employee works across multiple locations).
- Add intervals/shifts per day and time (you can add more than one interval per day).
- Optionally copy the week to future dates or edit specific dates.
- Click "Save".
Tip
Plan breaks as separate intervals (e.g., 09:00–12:00 and 13:00–18:00) or use "Blocked time" for more flexible exceptions in the calendar.
Logic and impact
- Employee schedules should stay within the location working hours.
- Online bookings:
- If the location is set to use “Location”, slots follow location hours but still require an available employee.
- If set to “Employees”, slots follow employee schedules.
- Lists may include an option "Show only employees who have set working hours" — use it for clearer selection.
note
“Outside working hours” is a Calendar view setting (± hours beyond working hours) and does not change availability. If you see messages like “You`re not allowed to update work schedule.”, ask an administrator for permissions.
Frequently asked questions
Can I set more than one interval per day?
Yes. Add multiple intervals (e.g., 09:00–12:00 and 13:00–18:00) to reflect breaks and shifts.
What if a schedule is outside the location hours?
Slots outside location hours will not be shown. Set the location hours first, then employee schedules.
